Which stage are you at?
A return merchandise authorization, often shortened to RMA, is part of a manufacturer’s replacement process. It is not the same as a completed installation. Tell us what the manufacturer has already confirmed so the next service request starts at the right place.
| Your situation | The next conversation |
|---|---|
| Something failed, but no case is open | Agree on diagnosis and confirm who will contact the manufacturer |
| A case is open, with more testing requested | Share the requested checks and clarify the additional service scope |
| Replacement approved, part not yet received | Confirm the exact part, shipment, access, and scheduling dependencies |
| Replacement received, no installer available | Review the part and instructions, quote installation, and assign return responsibilities |
| Replacement fitted but monitoring is incomplete | Review commissioning, device records, communication, and current operation |
Keep the different warranties and costs clear
Your equipment manufacturer, original installer, and new service contractor may each have different responsibilities. Product coverage, original workmanship promises, an optional service plan, and the new installation quote are separate documents.
Enphase explains that its component warranties can remain available after an installer closes. SolarEdge publishes conditions for labor reimbursement on eligible approved replacements. Neither statement establishes what is paid for your particular system: confirm the product, coverage dates, approval, and applicable terms with the provider.
Ask whether diagnosis, travel, removal, installation, shipping, consumables, commissioning, and repeat visits are included. Sun Ray Solutions charges no travel fee, but other work is priced in the written scope. Do not assume that a manufacturer’s allowance equals the entire contractor invoice.
What to send before an installation is scheduled
Send the case or RMA reference, the manufacturer’s approval or service instructions, old and replacement model numbers, and whether the part is already on site. A photo of the closed shipping box and part label can help identify a supplied item.
Include your city, equipment location, known roof-access needs, and any system ownership restrictions. If the system is leased or under a power purchase agreement, confirm the owner’s service process before authorizing work.
Remove account passwords, payment information, and unrelated personal details from documents. We can establish the appropriate monitoring permissions separately when needed.
- Who is responsible for the manufacturer case?
- Has the replacement model been approved for this system?
- Must the failed unit be returned, by whom, and by what deadline?
- Who supplies packaging and any return label?
- What must be documented to complete the case?
What a replacement installation quote should address
The quote should identify the equipment and quantity, labor, access, necessary materials, any configuration or device mapping, and the system checks at completion. If additional faults are found, define the approval process for that work.
A roof-mounted microinverter or panel can involve different access and handling from a wall-mounted inverter. A part that looks similar may still need a compatibility review. Keep all packaging and follow the manufacturer’s handling instructions until installation and return requirements are clear.
We confirm the exact work we can accept before booking. Independent service does not transfer the original installer’s obligations or create manufacturer authorization. A claim decision, reimbursement, or dispatch date is controlled by the relevant provider.
How Sun Ray prices the service
Installation of an approved replacement is quoted for the job; there is no universal flat labor rate for every panel, microinverter, or inverter. Share the existing approval first so we can determine whether additional diagnosis is necessary.
If an on-site diagnostic visit is needed, the $200 nonrefundable service deposit covers the visit and initial assessment. It is credited toward approved repairs and retained if repairs are declined. We confirm the appointment’s scope and charges before it is booked.
Before handover, retain the service record, replacement equipment identification, available operation checks, and the status of any return shipment. Ask the manufacturer how the replacement is covered rather than assuming a new full warranty begins.
